Silpi Advertising ("we," "our," or "us") is an outdoor and media advertising company headquartered in Trivandrum, Kerala, India, with a presence across 6+ districts in the state. With over 30 years of industry experience, we provide hoardings, large-format printing, signage, digital media solutions, and advertising space to businesses of all sizes.

This Privacy Policy explains how we collect, use, store, and protect personal information that you provide to us when you visit our website, inquire about our services, enter into a business relationship with us, or otherwise interact with Silpi Advertising, Silpi Outdoor Media, Silpi Advertisers, or Megaprint (collectively, the "Silpi Group").

  • Financial Information: Billing address, GSTIN, payment references, and invoice details. We do not store full payment card details.
  • Creative Assets: Artwork, brand logos, images, and copy materials submitted by you for display purposes.
  • Technical Information: When you visit our website, we may collect your IP address, browser type, operating system, pages visited, and time of access through standard server logs and cookies.
  • Communication Records: Records of correspondence including emails, WhatsApp messages, and phone call notes for service continuity.

We do not knowingly collect sensitive personal data such as biometric information, health data, financial account credentials, or religious/political beliefs as part of our core advertising business.

We process your personal information for the following purposes, always on a lawful basis under the Digital Personal Data Protection Act, 2023 (DPDPA) and the Information Technology Act, 2000:

  • To respond to enquiries and provide quotations for advertising services including hoarding spaces, backlit panels, signage, and digital media.
  • To prepare, execute, and manage advertising contracts, booking agreements, and campaign schedules.
  • To process payments, issue invoices, and maintain financial records as required under applicable tax law (GST Act).
  • To communicate service updates, campaign status, and any changes to your booked advertising space or campaign timeline.
  • To comply with statutory, regulatory, or legal obligations including municipal advertising permit requirements.
  • To improve our website, services, and operational processes based on usage analytics.
  • To send you information about our services or promotions, only where you have given us explicit consent to do so.

We will not use your personal data for purposes other than those stated above without your prior consent, except where required by law.

Sharing of Information

Silpi Advertising does not sell, rent, or trade your personal information to third parties for their marketing purposes. We may share your information only in the following circumstances:

  • Within the Silpi Group: Your information may be shared with our sister concerns (Silpi Outdoor Media, Silpi Advertisers, Megaprint) solely for the purpose of fulfilling your advertising requirements.
  • Service Partners: With printing vendors, installation contractors, and logistics partners on a need-to-know basis to execute your campaign.
  • Government & Regulatory Bodies: With local municipal authorities, KERA (Kerala Electrical Regulatory Authority), or other bodies as required for permit applications, tax compliance, or legal proceedings.
  • Professional Advisors: With our accountants, legal counsel, or auditors under strict confidentiality obligations.
  • Legal Requirements: Where disclosure is required by a court order, law enforcement agency, or any applicable law in India.

Any third parties with whom we share data are required to handle it in accordance with applicable Indian data protection laws and may not use it for any purpose beyond the specified scope.

  • Right to Correction: You may request correction of inaccurate or incomplete personal data.
  • Right to Erasure: You may request deletion of your personal data where it is no longer necessary for the purpose it was collected, subject to our legal retention obligations.
  • Right to Grievance Redressal: You have the right to file a grievance with our designated Grievance Officer if you believe your data rights have been violated.
  • Right to Withdraw Consent: Where processing is based on your consent, you may withdraw it at any time. Withdrawal will not affect the lawfulness of prior processing.
  • Right to Nominate: You may nominate another individual to exercise your rights in the event of your death or incapacity.

To exercise any of these rights, please contact our Grievance Officer using the details provided in Section 11. We will respond to your request within 30 days as required by law.

Data Retention

We retain your personal information only for as long as is necessary for the purposes outlined in this Privacy Policy, or as required by applicable law. Our general retention practices are:

  • Client and Contract Records: Retained for a minimum of 7 years from the date of last transaction, in compliance with the Companies Act, 2013 and GST record-keeping requirements.
  • Enquiry Records: Retained for up to 2 years from the date of last contact if no business relationship is established.
  • Creative Artwork Files: Retained for the duration of the campaign plus 6 months, then securely deleted unless you request otherwise.
  • Website Usage Data: Retained in anonymised form for up to 26 months for analytics purposes.

Upon the expiry of these periods, your data will be securely deleted or anonymised so that it can no longer be associated with you.

Children's Privacy

Our services are intended for businesses and professionals and are not directed at individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have inadvertently collected personal data from a person under 18, we will take immediate steps to delete such information.

In accordance with the Information Technology Act, 2000, Rule 5(9) of the IT (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023, we have designated a Grievance Officer to address your data-related concerns.

You may contact our Grievance Officer within 30 days of the issue arising. We are committed to acknowledging your grievance within 5 business days and resolving it within 30 days of receipt.
